CampOS

CampOS is camp and event management built into Rock RMS^*. It runs inside your own instance of Rock, so your data stays yours, and it is plain enough that a volunteer can run a week of camp with it. We built it for the work of ministry, and we give it away free to any church that can use it.

A season has a lot of moving parts. Registration, payments, cabins, health forms, staff, activities, the snack shop, and the printing that has to happen the night before check-in. Most of those parts are sold separately, which means somebody on staff spends the year carrying information back and forth between the different systems. CampOS puts them in one unified system, where a camper's record exists across every feature. A camper who registered three years ago is the same record the office, the nurse, and the registrar are looking at today. Nothing is entered twice.

• ·Person Editor. Every registration a person has ever had, with cost, discount, paid, and balance on the same screen. Move a registration, cancel one, apply a discount after the fact, upload an insurance card or immunization record, send a balance reminder.
• ·Payments. One payment of any tender, cash, check, or card, split across many registrants at once, including church-sponsored groups. Recorded in one action instead of one at a time.
• ·Camper Bank. Starting balances, charges by category, refunds with a written reason, and a full staff credit ledger alongside it.
• ·Cabin Editor. Placement by gender, age, friend requests, and special needs. Drag and drop to adjust, assign counselors, and print the overview.
• ·Activities. Campers pick, the system schedules into time slots, and the auto-assign runs against their choices. A fairness report shows who got what, with capacity recommendations before you commit.
• ·Parent Checklist. A tokenized email link, so parents fill out the insurance card, immunization record, signed waiver, and activity choices without creating an account or remembering a password. You choose which items appear and what the email says.
• ·Staff Readiness. Background checks, certification expiry for lifeguard, CPR, and first aid, week-by-week assignments, roles, and an org chart in one view.
• ·Print Center. Name badges, medical summaries, cabin rosters, shirt lists, registrar checklists, Day-0 envelopes, pickup labels, and permanent record cards, plus a label designer for your own stock.
• ·Financial Income Table. Gateway transactions and manual entries reconciled in one table, exported straight into QuickBooks.
• ·Person Reconciliation. Duplicate records surfaced side by side, reviewed, and merged, with a history of every merge.
• ·Mass Registration. A spreadsheet of campers imported and registered to an event, with a required dry run before anything is written.
• ·Holding Area. Late cancellations parked with their money, so funds can move to another camper or be refunded without losing the trail.
• ·Scholarship Requests. A hardship application families can submit online, routed to staff for review and handed off to registration.

What running it actually costs

* Rock RMS is a separately owned platform maintained by the Spark Development Network. CampOS and Stabil's other Rock plugins run on top of Rock but do not include Rock itself.
