Terms of Service

These Terms cover services you buy from Stabil Systems LLC (“Stabil”, “we”) through this website: the Your Crew Plan Session, and the deliverables we agree on during your free call, which we quote and invoice after the call. You pay those invoices through our Pay page or a PayPal invoice. By paying, you agree to these Terms on behalf of your organization. Please also read our Privacy Policy.

What these Terms do not cover. Engraved Organizations, the paid church-groups service at groups.stabilsystems.com, has its own Engraved Organizations Terms. CampOS, ConferenceOS and Stabil's Rock plugins are licensed under our Software License & Attribution terms. The Engraved app is free. Gifts made through Give are gifts, not purchases. If your organization has a signed agreement or an accepted quote with us, that document controls wherever it differs from these Terms.

1.Who we are

Stabil Systems LLC, a Wyoming limited liability company registered to do business in Tennessee, 331 Bethaven Dr, Spring City, TN 37381. We are a for-profit company, not a 501(c)(3).

2.Who can buy

Our services are for churches, ministries and other organizations. Whoever books or pays must be an adult with authority to act for the organization. We take on Plan Session and Your Crew planning work only with organizations that agree with our Statement of Faith. We may decline any request. If we decline after you have paid, we refund you in full.

3.The Your Crew Plan Session

The call is free, and nothing is paid ahead of time. You pay only for the deliverables we discuss and agree on during the call, and we invoice you after the call. For one role, up to 3 workflows, the written plan is as low as $149 for churches, as shown on our Plan Session page. This price is subsidized to help ministries get started. The Plan Session has these parts:

• A free 45-minute call with one of our Solution Architects. We learn how the work is done today and what you want Your Crew to take off your plate.
• A written plan, tailored to your ministry. The work we recommend handing over, the tools it would use, what always waits for a person’s yes, and the steps to put it in place.
• Two ways forward, both priced. A quote for Stabil to set it up for you, and the plan itself, so your own team can set it up instead.
• A slide deck for your decision-makers. Ready for your pastor, leadership team, committee, or board.

The free call is only a conversation. Nothing is installed or connected during it. If you go ahead, we quote two things after the call: a guided install, and the managed services that follow. Your Crew runs in your own accounts and is operated by your own people. Stabil guides and advises. Stabil does not perform the tasks Your Crew carries out. During the install, we help your staff configure, connect, and test Your Crew, connecting only what you approve, and we train your people. Managed services consist of check-ins, review, recommendations, and coaching. They are recommended for the first year but are not required, and we offer training so you can run Your Crew yourself. The price and terms of each are set in your quote.

One role means up to 3 workflows. If our call turns up more than one role, the Solution Architect will ask which one to prioritize, finish the plan for that role, and quote the others separately after the call. Nothing more is charged unless you choose it.

The 45-minute call is free, and you book it on the scheduler on our page without paying first. The call is on Microsoft Teams, and your calendar invite has the link. After the call, we quote your written plan, and nothing is charged unless you choose it. If you do, we invoice you after the call, and you pay through a PayPal link. We send your written plan and slide deck within 7 business days after your call.

4.Custom quotes and invoices

For more than one role, or for a larger organization, you start with the same free call, and you get a link to book it as soon as you send your details. After the call, we email you a quote with an invoice. Nothing is charged until you accept it. We send each invoice after the call, once we have agreed on the deliverables and their price, and it covers only those deliverables. Other work, such as services and custom builds, CampOS and ConferenceOS implementation and managed services, and Your Crew setup, follows the scope, price and schedule in your quote. Invoices are due on receipt unless your quote says otherwise.

5.Payment

PayPal processes all payments, in US dollars, whether you pay with PayPal or a card. Stabil never sees or stores your card number. Paying Stabil is a purchase from a for-profit company, not a tax-deductible gift. PayPal’s receipt is your proof of payment, and we can send a paid copy of your invoice on request. Prices don’t include applicable taxes; we add sales tax where required by law.

6.Rescheduling, cancellations and refunds

• Plan Session refunds. Nothing is charged until you accept the quote we send after your call. You get a full refund if we cannot deliver your written plan. After your call, the fee is not refundable except in that case.
• Rescheduling your call. Rescheduling is free any time before your call. Use the link in your calendar invite, or email solutions@stabilsystems.com.
• Missed calls. If no one from your organization joins the call, email us and we will offer you one new time at no charge, as a courtesy.
• If we need to reschedule, we will tell you as soon as we can and offer new times. If none of them works for you, you can choose a full refund instead.
• Custom work. Refunds follow your quote. Where your quote says nothing, we refund payments for work we have not started.
• How to ask. Email solutions@stabilsystems.com with your reference number. Refunds go back through PayPal to the way you paid, usually within 10 business days.
• Nothing here limits any refund right the law gives you.

7.No guarantee of results

Your plan reflects our professional judgment, based on what you tell us. Time, cost and hours-saved figures are estimates, not promises. We do not guarantee any particular savings, results or outcome. AI tools can make mistakes, which is why the plans we write keep a person’s yes on anything sent to people or touching money.

8.Your responsibilities

You agree to give us accurate information and to make time for the call. You decide what to put in place. Accounts and subscriptions with outside platforms are your organization’s own, and your organization pays for them directly. Share only the information about your members, staff or volunteers that you are allowed to share and that we need. Don’t send passwords or card numbers through our forms.

9.Your plan and our materials

What you tell us stays yours. Once you have paid, you may use, copy and share your written plan and slide deck within your organization and with your decision-makers, and you may carry the plan out with us, by yourselves, or with someone else. Stabil keeps ownership of its catalog, templates, methods, tools and other materials it already had or creates for general use, and you may use whatever parts of them appear in your deliverables for your organization’s own work. Ownership of custom builds is set in your quote. Software licensing for CampOS and ConferenceOS is covered by our Software License & Attribution terms.

10.Confidentiality

We keep non-public information about your organization confidential and use it only to serve you, as our Privacy Policy describes.

11.Third-party AI tools and services

Stabil builds on third-party AI tools, such as Grok Bot (by SpaceXAI) and Claude and Claude Duet (by Anthropic), and on services such as Microsoft Teams, Calendly and PayPal. Those products belong to their owners and are governed by their own terms and privacy policies. The AI accounts set up for Your Crew with our help are your organization’s own accounts with those providers. Stabil Systems is an independent company. It is not affiliated with, sponsored by, or endorsed by SpaceXAI, xAI, Anthropic, or any other provider we name. Naming a product does not mean its maker has reviewed or approved our services. Providers may change their products, prices or policies, and we do not control those changes.

12.Disclaimers and limitation of liability

We perform our services with reasonable care and skill. Apart from that, and to the extent the law allows, our services and deliverables are provided “as is”. To the extent the law allows, Stabil is not liable for indirect, incidental, special or consequential damages, or for lost data, revenue or profits. Stabil’s total liability for any claim about a service is limited to the amount you paid Stabil for that service in the 12 months before the claim.

13.Changes to these Terms

We may update these Terms. When we do, we post the new version here with a new date. The version in place when you paid applies to that purchase.

14.Governing law

These Terms are governed by the laws of the State of Wyoming, USA.
